Reservations

To reserve any private tour, custom vacation, retreat, or regional group trip (with or without accommodation), we require a 50% deposit at least 60 days before the starting date of your trip. However, if you wish to book your trip with fewer than 60 days remaining, and if we still have availability, we require full payment of your quoted price not only to secure our availability but also that of other services, major sites and venues, and accommodation that we book on your behalf at short notice.

All deposits and payments can be made online in USD via PayPal or Square. Note: Both payment processors securely accept all major credit cards.

If you choose to book prior to the 60 day margin a 50% deposit on your personalized quote will be sufficient. You will be expected to pay your balance on your arrival at your resort or hotel. Booking at least 60 days in advance not only assures better availability with us and all venues and accommodation, it also gives you flexibility to make changes or amendments to your travel plans if necessary.

Terms & Conditions

Insurance

We strongly recommend you purchase trip cancellation insurance to prevent any financial loss in case of illness, accident, or any other situation causing you to cancel your trip.

We also strongly suggest you purchase travel and medical insurance for the duration of your entire trip in Europe. During your time with us, in the event of personal injury you are covered on our public liability plan while on sightseeing, gastronomic and shopping tours personally and exclusively hosted by me (David Weber). However, this does not cover medical costs for any personal injuries, illness, damage to personal property or loss that may occur on any subcontracted services we hire on your behalf acting as your agent. These subcontracted services may include but are not limited to guides, personal sports instructors, crewed boat charters, private chefs, any type of transportation services (public or private), bicycle rentals, hotels, vacation rentals, private retreats, restaurants etc. Any and all claims therein must be addressed directly to the entity in question by the person or persons making the claim.

Furthermore, we (David Weber & Spain By Dave) are not responsible for any loss or damage caused by Force Majeure, meaning any unforeseen event or circumstances outside of our, or our suppliers control. These may include but are not limited to adverse weather conditions or natural disasters, such as floods, wildfires, and pandemics. Events or circumstances of Force Majeure may also include but are not limited to public labor disputes, unforeseen public sporting events, or political demonstrations in any given Spanish city or European country where we are hosting your trip, on any given day, that may cause road closures or traffic congestion, resulting in delays to your next destination, missed appointments, or cancelled plans. We are also not liable for any damage, loss or delays caused by mechanical failure or accident on any third party transportation service (public or private) that we hire acting as your agent on your behalf.

Boat Charters & Similar Exclusive Leisure Activities

We will be happy to book your group a boat charter whether it be for one day or multiple days. Regardless of the timeframe a non-refundable 50% deposit completely independent from your deposit with us will be required to secure the yacht booking. Boat charters and other similar leisure activities such as hot air balloon rides tend not to give refunds for cancellations after deposit. The only exception on a partial or full refund would be if on the day of the charter or excursion adverse weather conditions prohibit navigation.

Amendment Policy

If you realize that you need to adjust your dates after you’ve made your deposit you will need to notify us immediately as to avoid or minimize financial loss. For example, if you and and your group arrive a day later than your expected arrival at a your hotel, whether booked by us or you, all rooms will be charged by the hotel anyway. This can easily be avoided with at least 48 hours notice. Other activities, such as guided tours of the Alhambra Palace & Gardens Complex in Granada or the Prado Museum in Madrid could be impacted by a late arrival if you have these booked for your first day as the neither venue offers refunds nor do the guides hosting the tours. This would incur a loss of that part of the deposit on your quoted price. However, in this case we would ask you to provide minimum of 15 days notice. That would allow us to rebook the guides without financial loss, however the tickets would have to be repurchased. In any case, we generally don’t program guided tours of ticketed venues on your arrival day. We ask you to notify us as soon as you confirm any changes in your schedule.

Cancellations

If you cancel your trip, tour or retreat with us 90 days or more before the starting date we will refund your deposit in full. If less than 90 days remain and no more than 60 days remain before the start of your tour, we may retain up to 20% of your deposit. If less than 60 days remain before the start of your tour we may retain up to 50% of your deposit to cover our cancellation costs. In the event we make a group hotel reservation for you the hotel may require a non-refundable 25% to 50% deposit on the group rate for the duration of the stay. You must notify us by email of any cancellations as soon as possible.

In the highly unlikely event that we have to cancel your tour with us due to an unforeseen emergency on our end after you have paid your deposit, we will refund your deposit in full regardless of the timeframe. However, we are not responsible or liable for any other part of your trip that was not included in your deposit with us, such as overseas flights, cruises or any other destination and transportation costs.

Pricing, Quotes & Deposits

All prices we quote you on our Custom Travel, Private Regional Group Tours, and Retreats based on your specifications are based on good faith and 2025 market prices. Our fee is generally 15 to 20 percent of the total cost of your trip or an agreed daily rate for the tour leader and operational expenses. Final price will depend on group size, length of stay, level of comfort or luxury in accommodation, current market prices, type of transportation, etc.

Regional – Private Group Trips

The regional tour itineraries seen on our website are designed to be private group packages including accommodation at 4 star hotels or comfortable vacation rentals and transportation as well as our professional fees. Prices may vary depending on the time of year, holidays, etc. Meals are not included, other than daily breakfast (when requested) as appetites can vary enormously from person to person and day to day combined with price variations on different items on restaurant menus. As a result, daily food expenditure (including wine) may range from $50 to $350 per person. Bottom line: Whatever you order or spend while touring with us you can always count on good food with the highest standards of quality and freshest ingredients! There will also be the occasional breakfast or aperitif on the house!

It is also possible to arrange a partially or all inclusive group meal plan. This type of plan would have to be determined via a guest questionnaire that reflects each group member, addressing special dietary needs, food allergies etc, as well as preferences and expectations. We have successfully resolved these matters in the past on Zoom conferences and simple email. If you would like us set up a Zoom meeting it will be a pleasure! The same personalization applies for group retreats.

If you are able organize your own private party of 10 friends or family members for a 7 to 10 day tour of one specific, geographical and cultural region in Spain the price per person can be potentially attractive. Furthermore, organized regional tours in Spain with your favorite people have proven to be a lot of fun!

Quotes, Deposits & Final Price

Whether you are interested in booking the type of trip described above or a custom designed vacation with us, we will make your quote based on your desired level of comfort, activities, length of stay, and season as well as number of persons. If you agree on what we have quoted you, we will ask for a 50% deposit at least 60 days before the start of your trip. Once paid, your original quoted price is generally secure, except in the event of extreme spikes in energy prices or currency variations that may occur after you have made your deposit. As a general rule if the US dollar falls over 10% against the Euro from the time you have made your deposit to your starting date with us, we may reserve the right to adjust your balance accordingly. If such circumstances arise we will let you know ahead of time.

We and our wide network of contacts on the ground all across Spain, including tourism professionals directly affiliated with world heritage sites, museums, national parks as well as restauranteurs, hoteliers, wineries, olive oil producers, outdoor adventure providers and every type of transport provider you can imagine strive to always give our guests the most authentic, enjoyable and memorable experience possible.

We are able to achieve this by respecting local cultures, communities and traditions as well as that of the natural environment. Working within these guidelines, such as respecting Spanish meal times, which are considerably later than those in the US or Canada, is essential to providing our guests with authentic and memorable experiences while respecting local cultures, communities and traditions. This is particularly true in off the beaten path, less populated areas of Spain. In large cities, such as Madrid and Seville, there is greater flexibility in terms of dining hours. However, if you are looking for American style vacation packages where you have all your meals at the hotels throughout your stay on a US dining schedule, we recommend that you not book with us. There are plenty of tour companies that advertise on the web that experience. We cater to the open minded, curious and adventurous!
